From First Conversation to First Session — No Surprises.

You've decided to work with us (or you're close). Here's exactly what happens next — step by step, stage by stage, with no obligation, no pressure, and no jargon at any point.

Onboarding Process Hero Banner.png

What happens when you say yes.

Most training providers make onboarding feel like paperwork. We don't. Our onboarding is a conversation — one that starts with us listening and ends with your team in a room, learning something that actually applies to their job. In between, there are clear steps, real timeframes, and no surprises. You'll know what's happening, what we need from you, and what comes next at every stage.

No obligation. No pressure. No jargon. Just a straightforward process designed around your business — not a template bolted on top of it.

What makes our onboarding different

Most training providers have a standard onboarding process: form, contract, schedule, deliver. Ours doesn't work that way — because the training itself doesn't work that way. Our onboarding is where we start learning your business, and that learning shapes everything that follows. Here's what makes it different.

  • Onboarding isn't admin for us. It's the stage where we get under the skin of your operation — your processes, your culture, your challenges, your terminology. We meet your team. We walk your floor. We ask questions. The better we understand how you actually work, the more relevant the training becomes. This is the foundation everything else is built on.

  • We don't hand you a pre-written programme with your logo on the front. We design the approach around what we've learned — your goals, your constraints, your operational realities. You review it. You approve it. We refine it until it's right. Nothing starts until you're comfortable.

  • There are no surprises on the day. You see the programme, the materials, the schedule, the delivery model, and the outcomes we'll measure — all before a single session runs. If something isn't right, we change it. You're in control throughout.

  • During onboarding, we agree what success looks like — productivity, quality, retention, cost, or whatever matters to you. Those measures shape the programme and follow it through to delivery and review. A completion certificate is a baseline. Real impact is the point.

  • Each programme informs the next. After every delivery, we review what worked, what changed, and what to do differently. So the second programme starts from a higher baseline than the first — and the third from a higher baseline than the second. That's why 75% of employers come back. The process gets easier and more effective the longer the relationship runs.

  • You deal with people who can make decisions — not a layer of account managers and approval chains. When something needs to change mid-onboarding or mid-programme, we change it. Fast responses, personal service, no bureaucracy. Darren handles client relationships directly, so you're always talking to someone who can act.

  • Already have someone handling training internally? We're not here to replace them. We augment your existing L&D function — bringing specialist expertise, extra capacity, and additional bandwidth when your team is stretched. Think of us as an extension of your training team, not a takeover. We'll align with your in-house approach during onboarding.

  • All our provision embeds Green Circular Economy principles unless you specifically request otherwise. So your training doesn't just develop your people — it supports your sustainability goals at the same time. No extra cost, no separate module. Just built in — and we'll confirm this with you during onboarding

the journey

The onboarding journey — step by step

This is the core of it. Eight steps from your first enquiry to an ongoing partnership that compounds over time. Each step has a clear purpose, a clear owner, and a clear next stage. You'll always know where you are and what's coming.

  • You get in touch. We have a conversation — typically 30-45 minutes, no obligation, no pressure. You tell us about your business, your team, and what you're trying to achieve. We listen, ask questions, and give you an honest assessment of whether we're the right fit. If we're not, we'll tell you. If we are, we'll talk about next steps. No pitch deck. No hard sell. No jargon.

  • f we move forward, we take time to understand your operation in depth. We meet your team. We walk your floor. We look at your processes, your culture, your challenges, your goals, and your terminology. This isn't a box-ticking exercise — it's the foundation everything else is built on. The better we know your business, the more relevant the training becomes.

STAGE BREAKDOWN

What to expect at each stage

This is the practical breakdown — what we do, what you need to provide, how long it takes, and what happens next. The short version: we do the heavy lifting. Your involvement is deliberately minimal. Here's the detail.

    • What UTraining does: Listens. Asks questions. Gives you an honest assessment of fit. Explains how we work. Answers your questions — including the awkward ones.

    • What you need to provide: A conversation. Tell us about your business, your team, and what you're trying to achieve. That's it. No brief, no paperwork, no prep required.

    • How long it takes: 30-45 minutes. Within 1-2 working days of your enquiry.

    • What happens next: If there's a fit, we move to Step 2. If there isn't, we tell you — and point you towards someone who might be a better match.

    • What UTraining does: Meets your team. Walks your floor. Reviews your processes. Asks questions about how things actually work. Identifies challenges, constraints, and opportunities.

    • What you need to provide: Access. Introduce us to the right people. Give us time with your team and a look at your operation. A point of contact who can answer questions.

    • How long it takes: Typically 1-2 weeks, depending on complexity and your team's availability.

    • What happens next: We take what we've learned and start designing the approach.

    • What UTraining does: Designs a programme tailored to your business — content, delivery model, cohort structure, outcomes, materials. Presents it for review. Refines based on feedback. Repeats until it's right.

    • What you need to provide: Feedback. Review the proposal. Tell us what works, what doesn't, what's missing, what's too much. Approve it when you're comfortable.

    • How long it takes: Typically 1-2 weeks from the learning stage. Revision cycles 2-3 working days per round.

    • What happens next: Once you approve, we move to planning the delivery.

    • What UTraining does: Arrives with everything needed — materials, equipment, resources, and tutors who already know your business. Sets up the space. Briefs your team. Creates an environment where learning starts immediately.

    • What you need to provide: The space (if on-site) and your learners — released from their duties for the scheduled sessions. That's it.

    • How long it takes: Setup typically 30-60 minutes before the first session.

    • What happens next: Training begins.

    • What UTraining does: Delivers 100% face-to-face, practical, workplace-relevant training. Tutors reference your real processes, equipment, and challenges throughout. Tracks progress against agreed outcomes. Keeps you informed at every stage.

    • What you need to provide: Your learners, present and released for the scheduled sessions. A point of contact if issues arise mid-delivery.

    • How long it takes: Depends on the programme — 3-5 days for short courses, 3-4 months for workforce development, 12 months for apprenticeships.

    • What happens next: Programme completes. We move to review.

    • What UTraining does: Sits down with you to review the programme — what worked, what changed, what to do next. Shares impact data against agreed outcomes. Identifies what to sharpen for next time.

    • What you need to provide: Honest feedback. What did your team gain? What shifted in your operation? What could be better?

    • How long it takes: Typically a 60-90 minute review session, within 2 weeks of programme completion.

    • What happens next: The review informs the next programme — and the partnership continues.

    • What UTraining does: Stays in touch. Plans the next programme based on the review. Comes back with a higher baseline because we already know your business. Continues to measure and refine.

    • What you need to provide: A continued conversation. Tell us what's next, what's changed, what's new. We'll shape the next programme around it.

    • How long it takes: Ongoing. Most partnerships run across multiple programmes and years.

    • What happens next: The cycle continues — each programme informed by the last, each one tighter and more effective than the one before.

TIMELINE

How long it takes — real timeframes, not 'we'll be in touch'

We believe in being honest about timeframes so you can plan. These are typical durations — every partnership is different, and we'll confirm exact timings during the initial conversation. But here's what to expect.

STAGE
TIMEFRAME
Post-programme review
Within 2 weeks of programme completion
Programme delivery
3-5 days for short courses, 3-4 months for workforce development, 12 months for apprenticeships
First session
2-4 weeks after approval for short courses, 4-6 weeks for qualifications
Planning delivery
2-4 weeks after approval for short courses, 4-6 weeks for qualifications
Designing the approach
Typically 1-2 weeks (you review and approve; revision cycles 2-3 working days per round)
Learning your business
Learning your business Typically 1-2 weeks (depending on complexity and your team's availability)
Initial conversation
Within 1-2 working days of your enquiry

From enquiry to first session — typical total:

  • Short courses:  4-8 weeks from first enquiry to first session

  • Qualification programmes:  6-10 weeks from first enquiry to first session

These are real timeframes. We don't say 'we'll be in touch soon' — we give you dates you can plan around. If you have a deadline (a funding window, a new contract start, a seasonal peak), tell us during the initial conversation and we'll work backwards from it.

WHAT YOU PROVIDE

What you need to provide — less than you think

One of the things employers tell us they appreciate about working with UTraining is how little we ask of them. We do the heavy lifting. You provide the basics. Here's the full list.

  • Tell us about your challenges, your goals, and your team. Even if it's just a vague sense that something needs to improve — that's enough to start. No brief required. No prep needed. Just an honest conversation about where you are and where you want to be.

  • If we're delivering on-site, we need a room or area where people can gather, see a screen or whiteboard, and work in small groups. That's it. We bring everything else. We don't need a purpose-built training room. A meeting room, a break area, or a cleared corner of the workshop will do.

  • Release your people for the sessions we've agreed. That's the biggest ask, and we understand it's not always easy. We'll work around shift patterns, operational demands, and peak times to minimise disruption. The schedule is built around your operations — not the other way round.

  •  After each programme, we'll ask what worked, what changed, and what to do differently next time. Honest feedback makes the next programme better. That's how the partnership compounds. A 60-90 minute review session is all we need.

What we bring

The rest is on us:

  • Tutors who already know your business

  • All training materials — tailored to your processes, language, and terminology

  • Equipment and resources for practical exercises

  • Certification and registration (where applicable)

  • Scheduling and logistics planning

  • Impact measurement and reporting

  • Ongoing support and communication throughout

  • Green Circular Economy principles embedded by default

"We bring everything except your team. You provide the people and the space. We provide the rest — and we make it fit your business, not the other way round."

PROCESS

Why this process works

We didn't design the onboarding process to be impressive. We designed it to produce results. Here's the evidence that it does.

75% of clients come back — because the process compounds

Each programme informs the next. Each review sharpens the next design. The relationship gets easier and more effective the longer it runs. When 3 out of 4 employers pick up the phone again, it's not because of marketing — it's because the process delivered something worth repeating.

95% completion and achievement rate — because we learn your business first —

Learners complete programmes that are relevant to their job. They engage with training that's in their language, about their processes, and delivered by tutors who understand their workplace. That relevance starts during onboarding — not on the first day of delivery.

85% learner satisfaction — because the training feels like theirs

When materials use your terminology, reference your equipment, and address your actual challenges, learners feel the training was built for them. Because it was. That sense of ownership starts during onboarding, when we take the time to learn how your team actually works.

100% face-to-face delivery — because that's how adults learn best

No webinars. No self-serve modules. Real tutors, in real rooms, with real people — answering questions in the moment, adapting to the group, and connecting theory to practice on the spot. The onboarding process is designed around face-to-face delivery from the start

Outcomes & Impact

What good process produces

These numbers aren't marketing claims. They're the result of an onboarding approach that takes the time to understand your business before designing anything — and then measures whether it worked.

95%

Completion and achievement rate

85%

Learner satisfaction

75%

Repeat clients — employers who come back

100%

Face-to-face delivery

The number that matters most is 75%. That's the percentage of employers who come back after their first programme — because the onboarding process produced training that was relevant, measurable, and worth repeating. The other stats are the mechanism: high completion because the training is relevant, high satisfaction because it feels like theirs, 100% face-to-face because that's how learning sticks.
